# Room and amenity booking for community spaces

> Let members book event rooms, playrooms and other spaces from their portal, in fixed slots or by the hour, with fees, refundable deposits and your rules.

Members can book amenities like a multi-purpose room or playroom from the portal. Offer time slots, charge fees and deposit, and ask to sign a waiver before they confirm.

## What's included

- **Easy room booking without the back-and-forth.** Members use a calendar picker to reserve their space, read the rules and can fill out a waiver, all in one go.
- **Fees and deposits collected for you.** Set any fees, such as usage fee or refundable deposits. Reminders go out on the due date, and renters can pay online by card, or in cash.
- **Member pricing & drop-in rental.** Rent out your space at preferred rates for members and visitors.

## Questions and answers

### How do people book a room?

People book from their portal by choosing a space, a date and an available time, and they see your rules before they confirm. Times already taken are greyed out, so the same space is never reserved twice.

### Can we charge rental fees and deposits?

Yes, each space can have a reservation fee, a party fee or an hourly rate, and a refundable damage deposit. Fees can be paid online, by card at the desk or in cash, and you can set a separate, higher rate for people who are not members.

### What happens when a booking is cancelled?

Cancelling releases the slot so another household can book it, and any refund follows the policy you set for that space: automatic, manual or none. You choose how late people may cancel online and how late a refund still applies, and staff can cancel at any time.
